They can be found almost everywhere on the Internet: Free Word and Excel templates for offers and invoices in the craft sector. No nerve-wracking software installation, you don't have to be a computer expert to do it, and you don't have to learn new software.

Is it really that easy? Not entirely. The supposedly obvious things are then suddenly missing. It starts off quite banal: The recipient, for example, has to be manually typed in every time and cannot be selected beforehand. This is followed by the document number, which must be consecutive. That is very important.

Automatic number assignment would be very practical and not as susceptible to careless errors, wouldn't it? And who doesn't know it — one wrong paragraph and it's gone through the entire formatting and layout. (And two continents were also moved in the process).

Is invoicing with Word and Excel GoBD compliant?

Among other things, the GoBD requires that electronic data, such as documents created with Word or Excel, be complete, correct, ordered and unalterable must be saved. This is intended to counteract misuse and manipulation.

For invoicing, in particular, the Principle of immutability of great importance. A booking or recording may only be changed if the original content remains comprehensible. Changes and deletions must be recorded accordingly.

Your digital documents must therefore be stored in such a way that overrides can only be made with a label. Exactly that is usually not the case with your normal file system on your computer. The files can be changed there at any time. Even the conversion into a PDF file or an additional filing of invoices in paper form or in a simple cloud is not enough.

Briefly and painlessly, this means: If you create your invoices with Word, Excel or a comparable word processor, the whole thing is not GoBD compliant.

And now what? But expensive installation and learning new software?
